Turn a reference into an approval plan
Agree what the sample checks
Identify the exact version and ask how the sample relates to the production item. Review dimensional measurements, graphics and pack contents against written acceptance notes. Performance assertions require appropriate exact-item test evidence rather than visual inspection.
Keep the decision traceable
Save the sample reference, specification revision, reviewer and unresolved issues. A miniature for an event is not automatically suitable for play; a field hockey model cannot be approved from an ice hockey reference.

Team equipment
List pieces by handedness, requested length and other variants. Ask the supplier to confirm minimum quantities for each version instead of assuming the total order covers every variant.
Merchandise programs
State the display or promotional use of mini sticks, approved graphic files, decoration size and individual packaging. Separate proof approval from production authorization.
Retail replenishment
Define the assortment, pack ratio and carton dimensions to confirm. Keep requested availability separate from actual supplier confirmation and compare the same delivery scope to the US destination.
Compare scope before unit price
Send quantity in pieces, destination ZIP code, target timing and packaging requirements. An optional budget should state currency and whether it covers one piece or the whole order. High-end, mid-range and economical options are buyer preferences to discuss, not verified supplier grades.
